Anti-Harassment Policy

1. Purpose and Scope
SymbAIo Inc. is committed to maintaining a safe, respectful, and inclusive environment for all users, employees, and community members across all company platforms and products, including iMpatient™ and K@te™. This Anti-Harassment Policy establishes clear standards of conduct and outlines procedures for preventing, reporting, and addressing harassment in all forms.
This policy applies to all individuals using SymbAIo services and platforms, including employees, contractors, service providers, and community members. It covers conduct that occurs on company platforms, social media, community forums, and other digital spaces where SymbAIo content or services are discussed.
K@te™, our AI companion for survivors of psychological violence, requires particular commitment to this policy to maintain trust and safety within our survivor community.
2. Definitions of Harassment
Harassment includes any unwelcome conduct, communication, or behavior that is based on or references a person's protected characteristics or creates an intimidating, hostile, offensive, or uncomfortable environment. Harassment includes, but is not limited to:
- Online Harassment: Repeated or aggressive conduct directed at an individual through digital platforms, including email, comments, direct messages, forum posts, or social media, intended to intimidate, threaten, or harm.
- Psychological Violence: Conduct designed to cause emotional distress, fear, or humiliation, including threats, intimidation, belittling, shaming, gaslighting, or manipulation.
- Doxxing: Publishing or sharing private information about an individual (such as name, address, phone number, workplace, identification information) without consent, particularly with intent to enable harassment, intimidation, or harm.
- Stalking: A pattern of repeated, unwelcome conduct that creates a reasonable fear for personal safety or causes substantial emotional distress, including monitoring social media, repeated attempts at contact after being requested to cease, or tracking location.
- Intimidation: Conduct intended to frighten, coerce, or pressure an individual, including threats of violence, blackmail, extortion, or aggressive behavior designed to silence or control.
3. Zero-Tolerance Statement
SymbAIo Inc. has a zero-tolerance policy toward harassment in any form. We will not tolerate, condone, or ignore harassment of any community member, and we are committed to swift and decisive action against those who engage in harassing behavior.
This zero-tolerance stance is essential to protecting our survivor community, particularly K@te™ users who deserve a safe space to seek support. No exceptions will be made based on the alleged harasser's status, position, or relationship to SymbAIo.
4. Community Conduct Standards
All members of the SymbAIo community are expected to conduct themselves with respect, dignity, and civility. This includes interactions on the following platforms:
- SymbAIo official websites and platforms
- K@te™ community features and support forums
- iMpatient™ user forums and community spaces
- Social media accounts and public channels where SymbAIo content is discussed
Community members must treat all individuals with respect regardless of race, color, religion, gender identity, sexual orientation, national origin, age, disability, veteran status, or any other protected characteristic. Participants should listen actively, communicate honestly, and support a culture of inclusivity.
5. Prohibited Behaviors
The following behaviors are prohibited and will not be tolerated:
- Threats, intimidation, or coercion targeting any individual
- Slurs, derogatory language, or name-calling based on protected characteristics
- Unwelcome sexual comments, advances, requests for sexual favors, or sexually explicit messages
- Repeated contact or messaging after being asked to stop
- Sharing another person's private information without consent
- Creating fake profiles or accounts to evade previous bans or restrictions
- Conspiracy or coordination to harass or target an individual
- Harassment of employees, moderators, or support staff
- Publishing screenshots or recordings of conversations or interactions without consent
- Deliberately spreading false, misleading, or defamatory information about a person
- Mocking, belittling, or shaming another person's experiences, identity, or support needs
- Organizing campaigns of targeted harassment or "pile-on" behavior
- Attempting to gain unauthorized access to accounts or systems
6. Reporting Procedures
Anyone who experiences or witnesses harassment is encouraged to report it immediately. SymbAIo provides multiple reporting channels to ensure accessibility:

Information to Include in a Report
- Description of the harassing behavior and incident(s)
- Names or identifiers of individuals involved (alleged harasser, witnesses, affected persons)
- Date, time, and location of incident(s)
- Platform or medium where harassment occurred
- Screenshots, links, or copies of harassing messages or content
- Names of any witnesses
- Any prior reports or incidents related to the same individual(s)
Confidentiality and Good Faith
All reports will be treated with appropriate confidentiality. SymbAIo will not disclose the identity of the reporter unless required by law. Reports made in good faith will not result in retaliation against the reporter, even if the investigation determines that harassment did not occur. False accusations or malicious reports may result in disciplinary action.
7. Investigation Process
Upon receipt of a report, SymbAIo will conduct a prompt, impartial, and thorough investigation. The investigation will include the following steps:
- Acknowledgment: The reporter will be notified within 48 hours that the report has been received.
- Preliminary Assessment: Initial review to determine if the alleged conduct violates this policy.
- Interviews: Investigators will interview the reporter, the alleged harasser, relevant witnesses, and other affected parties.
- Evidence Collection: Gathering of relevant communications, posts, messages, and other evidence.
- Analysis: Objective evaluation of the evidence to determine if harassment occurred.
- Determination: A written finding will be issued concluding whether the alleged conduct violated this policy.
Timeline: Investigations will be completed within 30 days when possible, though complex cases may require additional time. The reporter will be informed of any significant delays.
8. Consequences and Enforcement Actions
Individuals found to have engaged in harassment will face disciplinary action proportionate to the severity and frequency of the conduct. Potential consequences include:
- Formal written warning
- Removal of offending content
- Temporary suspension of account (up to 30 days)
- Permanent ban from SymbAIo platforms
- Mandatory training on respectful community conduct
- Restrictions on platform features or community participation
- Monitoring of future conduct and interactions
- For employees, disciplinary action up to and including termination of employment
Serious violations, particularly those involving threats to safety or legal violations, may warrant immediate and permanent removal. SymbAIo reserves the right to refer cases to law enforcement when appropriate.
9. Protection Against Retaliation
SymbAIo prohibits retaliation against any person who, in good faith, reports harassment, participates in an investigation, or opposes any practice believed to violate this policy.
Retaliation includes any adverse action taken because an individual reported harassment or participated in an investigation, such as:
- Harassment or intimidation of the reporter or witness
- Exclusion from community activities or forums
- Demotion, denial of benefits, or loss of access
- Negative performance evaluations unrelated to performance
- Any hostile treatment as a consequence of reporting
Anyone who experiences retaliation should report it immediately using the same channels outlined in Section 6. Retaliation will be treated as a serious violation of this policy.
10. Support Resources for Affected Individuals
SymbAIo is committed to supporting individuals who have experienced harassment. The following resources are available:
- Counseling Services: Access to professional counseling through our Employee Assistance Program (for employees and their families)
- K@te™ Support Community: Safe, moderated space for K@te™ users to connect with others
- Crisis Hotlines: Information about national crisis and support hotlines (provided in app and on website)
- Documentation Support: Assistance in documenting incidents for personal records or legal proceedings
- Medical Leave: Eligible individuals may request reasonable accommodation or leave for harassment-related needs
- Account Security Review: Assistance in securing accounts or managing privacy settings
11. Responsibilities of SymbAIo
SymbAIo Inc. commits to the following responsibilities:
- Maintaining community spaces that are safe and respectful for all users
- Providing clear, accessible reporting mechanisms and multiple channels for disclosure
- Conducting thorough, impartial investigations with appropriate timeliness and documentation
- Taking swift action against those found to have engaged in harassment
- Protecting the confidentiality of reporters and respondents to the extent possible
- Preventing and addressing retaliation against reporters and witnesses
- Providing support resources for affected individuals
- Training staff, moderators, and community leaders on this policy and best practices
- Regularly reviewing and updating this policy to reflect community needs and legal requirements
12. Appeals Process
Individuals who have been found to have violated this policy or who believe an investigation was conducted unfairly may appeal the decision.
Appeal Procedures
- Appeals must be submitted in writing to [email protected] within 14 days of receiving the investigation determination.
- The appeal must specify the grounds for appeal, such as new evidence, procedural errors, or disputed findings.
- An independent appeals officer will review the appeal and the original investigation file.
- The appeals officer may uphold, modify, or overturn the original decision.
- A final written decision will be issued within 21 days of receipt of the appeal.
- The decision of the appeals officer is final.
13. Changes to This Policy
SymbAIo reserves the right to modify, update, or change this policy at any time in its sole discretion. All changes will be effective immediately upon posting unless otherwise specified. Current and prospective community members and users are responsible for reviewing this policy periodically for updates.
Significant changes will be announced through official SymbAIo channels. Continued use of SymbAIo platforms following changes to this policy constitutes acceptance of those changes.
